Performs general clerical work, minimal customer service, data entry, and in the requesting/receiving/processing of invoices. Performs data entry for service orders and material listing sheets. After an initial period of training in departmental policies and procedures, employee works independently in performing recurring duties.  Professionalism, courtesy and firmness are required in dealing with the public and vendors. Work is performed under direct supervision and is evaluated by the efficiency and accuracy of duties performed.

Duties/Tasks

  • Receives information and data from a variety of sources for preparation and entry into various computer and records management systems.
  • Request and process vendor quotes, enter quotes into the Purchase Order system for a purchase order number.
  • Receive and verify all deliveries, holding pick tickets and/or packing slips for invoice.
  • Submit invoices to Director or Assistant Director for signature.
  • Monitor on site material for re-order.  i.e. Sand-Caliche
  • Verify and track overtime, process timecards for approval.
  • Log and catalog work orders.
  • Prepare monthly report for Board Packet.
  • Operates data entry equipment, including personal computers.
  • Coordinates, catalogs, scans, and retrieves information from a variety of data sources.
  • Transcribes data from source documents onto various media, such as hard drives, thumb drives, etc.
  • Performs key verification processes and data source transcription.
  • Verifies completeness and accuracy of work by proofreading and verifying data out on the field, etc.
  • Reads, understands, and interprets city maps, diagrams, written reports, forms, etc., as requires for certain departmental assignments.
  • Maintains written and computerized document files as required.
  • Tracks data according to appropriate organization methods before entering into computerized system.
  • Prepares computerized reports and documents as necessary.
  • Ability to lift 94 pounds.
  • Ability to operate a forklift to load and unload freight and material.
  • Ability to mix sand and cement with a backhoe or loader.
  • Ability to load dump trucks with backhoe or loader.

Essential Job Requirements

Education

  • High School Diploma or GED
  • Some college preferred
  • Training on Microsoft Windows preferred

Experience

  • Working experience in Microsoft Windows and other database management software
  • Working experience in using various office equipment such as, but not limited to personal computer, fax, copier, calculator, mobile radio, etc.
  • Working experience in Customer Service and dealing with the public
  • Experience in a variety of accounting and clerical duties which require the application of some independent judgment.
  • General knowledge of the occupational hazards and safety precautions associated with the job assignment

Qualifications

  • Proficient in Microsoft word, excel and outlook and typing 30-40 wpm
  • Must have 2 years’ experience in an office environment and in dealing with customers
  • Must have 2 years’ experience in data entry
  • Must have working experience on personal computers and general office machines
  • Must have ability to perform mathematical computations, work and balance cash drawer with speed and accuracy.
  • Must have a valid Texas driver’s license
  • Ability to establish effective relationships as necessitated by work assignments.
  • Ability to develop or improve practices or methods to be more productive efficient
  • Ability to read plans, maps and blue prints
  • Ability to use measuring wheels and measuring tape
